Escape to nature

We want your stay at Fenland Retreats to be a relaxing, enjoyable and unique experience. We know no one likes small print but there are some terms and conditions that we must bring your attention to.

Booking

When a booking is made an email confirming the dates and times of your holiday will be sent to you. A 50% payment is required at the point of booking and the remainder to be paid no later than two weeks prior to the start of your holiday. Booking and initial payment is considered the establishment of a legal contract between yourself and Fenland Retreats. Failure to pay the remaining balance will result in the cancellation of your booking and will be treated as a cancellation by you according to the terms below. You are advised to take out holiday insurance, so that you are covered if you have to cancel.

Payments

We reserve the right to debit or pre-authorise payments from card details provided at booking when payments are due.

After Booking

You will be sent a link to your Welcome Pack/App within your confirmation email which includes initial instructions, these terms and conditions and a map and directions to ensure you have everything you need.

Cancellation

Cancellation by you will not be subject to a cancellation fee if cancelled more than 30 days prior to check-in. However when cancellation occurs within 30 days of the date of your holiday the fee will equal 100% of the total holiday price unless we are able to rebook the accommodation through putting availability back on our website, such decision being solely at our discretion. You are strongly advised to take out holiday insurance, so that you are covered if you have to cancel for any reason like inability to get here or sudden family illness. Please note that if we do rebook the dates, any refund will be limited to 85% of the price of the price it is rebooked for, (which may not be the same as the price you paid) as we incur costs to remarket and process bookings etc. Once we have a confirmed booking for your original dates, we can (at our sole discretion) also offer you the option to transfer the value of 85% of your original break value against an alternative date within 6 months of your cancellation.

Cancellation by the Property Owner

We will endeavour to make sure the stated property is available for the dates contracted. In the unlikely event the property becomes not available and we have to cancel the booking, we will facilitate one move of date by the guest to a date in a similar season (ie off-peak breaks move to off-peak break dates). In the event that no suitable date is found, the property owner shall only be liable to return the monies received less an admin fee of £50. No compensation or consequential losses shall be paid. Our aim is always to deliver your break and we try to be as accommodating as we can be in the event of any issues.

In All Accommodation:

GENERAL CODE OF CONDUCT

Whilst we are fairly relaxed and want you to fully enjoy your time with us, part of the attraction of staying at Fenland Retreats is that it is a quiet country area, so common sense regarding loud music and parties should apply. Please note that there are residential properties in the vicinity of the premises and that noise must be kept to reasonable levels to avoid disturbing them.

No litter should be left in the vicinity of the accommodation or anywhere else on site and please respect the natural environment and neighbours.

No pets are permitted on the site or in the accommodation unless prior notice is given. Charges and accommodation specific conditions apply, please see below. Assistance dogs are welcome but prior notice is still required please.

Please leave your accommodation and the surroundings as you found it.

BREAKAGES AND DAMAGE

If on your arrival you find any items, fittings, utensils, crockery or cutlery are broken, damaged or missing, please report it to us immediately.

A degree of normal wear and tear is to be expected but should any significant damage or breakage occur during the period of your stay you will be held responsible and liable to a charge equal to the lowest current market value.

We reserve the right to charge for excessive cleaning where the accommodation has been left in an unacceptable condition, including but not limited to, waste, litter, damage to the structure, movement of furniture and contents etc.

Accidents can happen and we appreciate your honesty. We always hope to discuss with you any damage that may have occurred prior to your check-out so that a suitable resolution can be reached and agreed before processing any charges.

FIRE POLICY

No fires are to be lit other than in the wood burning stove, woodfired hot tub, pizza oven, BBQ or the fire pit provided.

NO SMOKING POLICY

Fenland Retreats is subject to a strict NO SMOKING POLICY and pollution or damage from smoking will result in a deduction from your damage deposit to ensure the accommodation is returned to a satisfactory standard.

No smoking of any substance including vaping is permitted inside.

STOLEN PROPERTY

You are responsible for your property including car whilst you are staying in the accommodation and we do not accept any responsibility for your personal effects.

VISITORS

Unless otherwise booked and confirmed by us, your break is for the maximum capacity specified for your accommodation type. Please let us know before you exceed this for any reason, including before welcoming any temporary visitors onto the site.

LIABILITY

Fenland Retreats and Willow Grange Farm accept no responsibility for injury incurred anywhere on the site or in the accommodation.

NEGLIGENCE

Guests will be held responsible for any fire, damage or alteration to the booked type of accommodation or other parts of the site caused by negligence.

In the Safari Lodges and Shepherds Huts

DOGS

Our Shepherd’s Huts and Safari Lodges can accommodate a maximum of one small or medium dog. Dogs are only permitted on site subject to prior notice and approval at our discretion. There is a surcharge to bring a dog with you, payable before arrival.

Dogs must be kept on a lead at all times when outside of your accommodation. You are responsible for keeping the dog under close control at all times and preventing them from disturbing fellow guests and the local wildlife. All dog mess must be cleaned up and disposed of in our large bins.

Dogs are not to be permitted to jump up onto the bed or furniture at any time.

No provisions for dogs are provided therefore you are responsible for bringing everything including dog bed, water and food bowl, dog waste bags etc.

Any dog mess disposal or excessive cleaning required after the stay will be subject to an additional charge.

In Rodham House

DAMAGE DEPOSIT

We require a £500 damage deposit for all bookings made for Rodham House which is refundable following your stay, subject to inspection. Any damage, excessive cleaning requirements or evidence that you have not adhered to our policies will result in a deduction from the damage deposit. This fee of £500 will be requested via email 7 days prior to check in and payment must be settled prior to check-in. Failure to do so is considered a cancellation by you, with the above cancellation terms applying. Following inspection the deposit will be refunded, in full unless deductions are required, to the original payment method within 7 days of your check-out.

GOOD NEIGHBOUR POLICY

Whilst we want you to fully enjoy your time with us, part of the attraction of staying at Fenland Retreats is that it is in a quiet country area, so common sense regarding loud music should apply. There are residential properties in the vicinity of the accommodation and by booking this accommodation you agree to respect our neighbours and their right to enjoy their homes in peace.

Specifically, we require that you adhere to quiet times between 10pm and 8am, and follow the below rules:

  • Quiet outside from 10pm
  • Silence outside from 11pm
  • No screaming, shouting & anti-social behaviour at any time
  • No loudspeakers in the garden or PA systems in the house

If you can hear noise in the garden that is coming from within the house then please turn it down as this will be audible to the neighbours also.

Please be aware that we are in regular contact with the neighbouring properties and our CCTV covering the property boundaries can also detect noise levels. If you are found to have breached this policy you risk deductions from your damage deposit.

NO STAG OR HEN PARTIES

Unfortunately we are not able to accommodate stag or hen parties in Rodham House

DOGS

Up to two small or medium dogs are permitted to stay in the house with prior notice required. These are subject to a fee which must be settled prior to check-in.

The dog(s) must be kept downstairs at all times and must not be permitted to go on any of the furniture. The dog(s) must be kept within the kitchen and hallway area overnight.

No provisions for the dog(s) are provided therefore you are responsible for bringing everything including dog bed, water and food bowl, dog waste bags etc.

You are responsible for keeping the dog(s) under close control at all times and preventing them from disturbing the neighbouring horses or local wildlife. We cannot guarantee the garden and boundaries are secured.

Any fouling must be cleaned up from the outside areas at the property and across the site. Any dog mess disposal or excessive cleaning required after the stay will be subject to a deduction from the damage deposit.
